Auto inventory matching with Airtable and Vapi voice calls

When a buyer's first-choice property is unavailable, this Airtable and Vapi workflow automatically pitches backup listings in a 30-second call.

The problem with sold listing inquiries

When a buyer asks about a property that is already under contract, agents spend hours hunting through database files to find similar options. By the time an agent follows up with alternatives, the prospect has often moved to another brokerage.

Handling these inquiries manually causes three operational issues:

  • Lost buyer momentum: A prospect told a home is unavailable without immediate alternatives will look elsewhere.
  • Tied-up agent hours: Reps burn selling time manually filtering spreadsheets to find matching price points and locations.
  • Delayed follow-up: Taking hours to suggest alternative listings drops engagement and conversion rates.

How automated inventory matching works

Instead of searching database sheets by hand, this workflow builds an automated inventory matching system. It evaluates incoming buyer criteria instantly, matches prospects with active properties in your system, and — if the primary property is under contract — pulls backup alternatives and triggers a 30-second voice call to pitch them immediately.

The core components:

  • Instant database cross-checking: Matches buyer budget and location preferences against your live property inventory in seconds.
  • Automated fallback suggestions: Pulls similar alternative listings automatically when a requested property is already under offer.
  • 30-second intent confirmation: Calls the buyer to present backup listings and confirm whether they want a showing.

Building the workflow in Airtable and Vapi

The inventory matcher is built around two tools: an Airtable base that stores your active listings with structured fields (price, location, bedrooms, property type), and a Vapi voice agent configured for short outbound calls.

When a new inquiry arrives, an automation reads the buyer's stated criteria and queries Airtable for matching records. If the primary property is unavailable, the script filters for the closest alternatives by price range and area, then passes those details to a Vapi call script.

The Vapi call runs under 30 seconds. It states the name of the backup property, the price, and a single qualifying question — typically whether the buyer wants a same-day showing scheduled. The response is logged back into Airtable.

What this does for your pipeline

  • Salvages sold-listing traffic: Dead-end inquiries for unavailable homes become active showing opportunities.
  • Reduces manual spreadsheet work: Sales reps stay focused on negotiations, not database lookups.
  • Moves inventory faster: Serious buyers get matched to available listings before they disengage.

The workflow is most effective when your Airtable base is kept current and when Vapi call scripts are kept concise. Agents should still review any showing requests before confirming — the automation handles the initial outreach and qualification, not the close.
